Seasonal Client Service Representative

HOURLY FT SEASONAL $22.00-$24.00 hour based on experience.

 

Job Summary:

The ideal candidate will be comfortable working in an extremely fast paced environment with ever changing information. Every single day will be the different than the last due to the nature of our business, operational conditions, and the needs of our clients. This role is a front-line position, and incumbent will need to have superior communication skills and always be an ambassador for our company. This pivotal role involves taking bookings through phone and online bookings, learning our routes and rate structures and streamlined communication out to our vessel board positions. The incumbent will also need to know the capacities all vessels in the fleet, ensuring not to exceed weight limits, and delivering unparalleled service to our valued customers.

 

Responsibilities:

BOOKINGS

  • Take client inquiries by phone and online regarding charters, scheduled runs, and tours after learning routes, rate structures and booking procedures.
  • Be comfortable with radio communications to vessels and ensure that all safety protocols are in place for vessel check-ins and other radio communications.
  • Use electronic booking calendar for ensuring efficient vessel utilization, avoiding double booking, overbooking, and always ensuring safety is our priority.
  • Ensure that packages are ready for Skippers with guest and freight manifests.
  • Ensure that packages are ready for Shuttle Drivers with guest manifests.
  • End of day Skipper schedules, advising all Skippers of vessel allocations and start times.
  • Pass over to after hours service where applicable. (After hour calls may be part of this role).
  • Maintain effective communication and working relationships with colleagues and vendors, stakeholders, title holders, service providers and customers.
  • Ensuring that all billing information is compiled from drivers and packaged for Office Manager.

 

OFFICE

  • Open the Passenger Lounge, ensure overall cleanliness. If the Passenger Lounge requires more than spot cleans then alert Dockhand.
  • Setup the coffee station in the Passenger Lounge, ensure all supplies are in place.
  • Open the office, turn on camera monitors, Zoleo monitor.
  • Open bathroom and ensure overall cleanliness.
  • Ensure that packages are ready for Skippers with guest and freight manifests.
  • Ensure that packages are ready for Shuttle Drivers with guest manifests.
  • Working effectively with major vendors, building, and cultivating existing relationships and forging new vendor relationships as needed in conjunction with the General Manager.
  • Flexibility to work extended hours or altered schedules to facilitate repairs with minimal impact to operations and be available for trouble shooting and minor repairs during business hours as they arise.
  • Maintain effective communication and working relationships with colleagues and vendors, stakeholders, title holders, service providers and customers.
  • Other tasks as needed.

 

Qualifications:

  • Legally eligible to work in Canada.
  • Minimum of three (3) years of experience in an office environment with a diverse team.
  • Flexibility to work a variety of schedules based on the needs of the business.
  • High School Diploma required; additional education or certifications in administrative support fields welcomed.
  • Radio Operators Certificate – Maritime (ROC-M), or higher Transport Canada commercial marine certifications are advantageous.
  • Class 4 drivers license or willing to get it. (occasional shuttle work for guest pickup)
  • Marine First aid and AED training considered an asset.
  • Fluency in English is mandatory.

 

Working Conditions:

  • Regular office hours (based on 5-day work week)
  • On-call availability during evenings, weekends, and holidays to manage emergencies or urgent situations.
  • Maritime environment, including outdoor exposure at times.
  • May require physical tasks such as lifting and bending.
  • Valid driver’s license, dependable, and must reside in the immediate Campbell River area.
